Syncing Recipients and Groups from Microsoft Entra ID

Keep your contact data up-to-date by syncing individual recipients or entire groups from your connected Entra ID directory.

This guide will explain how to:

  • Manually sync individual recipients
  • Sync an entire group and its members
  • Understand what changes when you sync
  • Troubleshoot common sync issues

Syncing an Individual Recipient

You can manually sync a specific recipient from your Entra ID directory anytime. This is useful when:

  • A user’s role or details change in your directory
  • You want to refresh a single profile without syncing the entire group
  • You need to push new changes to their business card(s)

To start, go to the Recipients tab in your workspace and click on the profile you want to sync. Then, open the Sync Recipient modal by clicking the Sync button in the toolbar.

Sync Options Available

You’ll see three options when syncing a recipient:

1. Sync Recipient Info

Updates the recipient’s information from Microsoft Entra ID without touching their card(s).

  • Pulls the latest values for synced fields (name, job title, phone, etc.)
  • Only updates the recipient profile, not their business cards
  • Ideal when testing sync behavior or confirming updates before pushing changes live

2. Sync Recipient Cards

Pushes the current recipient info to all assigned cards without pulling anything from Entra ID.

  • Useful if someone makes a manual edit to a recipient (like uploading a photo or fixing a typo)
  • Ensures the current workspace values are reflected in distributed cards
  • Does not fetch new data from Entra ID

3. Full Recipient Sync

Performs a full sync in one action:

  • First pulls the latest data from Entra ID (based on your Field Settings)
  • Then updates all cards assigned to that recipient with the new values
  • Ideal for fully refreshing a user’s details across all platforms

Syncing an Entra ID Group

You can also run a group sync on all link groups to refresh all recipients and their assigned business cards.

This is especially helpful for:

  • Scheduled refreshes (e.g., before an event)
  • Bulk changes in job titles, roles, or contact details
  • Keeping large teams in sync without managing profiles individually

How Group Sync Works

When you initiate a sync for a group linked to Microsoft Entra ID, Social Card will:

  1. Fetch all group members' latest user info from your connected Entra ID directory.
  2. Apply your Field Settings and Sync Options to determine what data to import or overwrite.
  3. Clean up any deleted or disabled user accounts based on your Sync Options.
  4. Update the assigned business cards for each user with the refreshed contact info.

Perform a Group Sync:

  1. Go to the Groups tab in your workspace.
  2. Select the Entra ID–linked group you want to sync.
  3. Click the Settings tab.
  4. In the actions section, click Sync Group.
  5. Review the confirmation pop-up.
  6. Click Sync Group to begin the task.
