Scheduled Syncs for Microsoft Entra ID

Keep your team's data up to date without lifting a finger. Scheduled Syncs automate the process of pulling user and group data from your Microsoft Entra ID directory into Social Card. Once configured, syncs run on a schedule to keep your business cards accurate and up to date, even as your org evolves.



What Are Scheduled Syncs?

Scheduled Syncs automatically synchronize Entra ID group data into your Social Card workspace.

  • Keeps recipient profiles and group memberships up to date

Getting Started

Prerequisites

To use Scheduled Syncs, make sure you:

  • Are on the Business or Enterprise plan
  • Have connected your Microsoft Entra ID integration
  • Have one or more Entra ID groups connected to your workspace

Where to Find Scheduled Syncs

  • In the Entra ID Integration Settings → Scheduled Syncs tab
  • In Group Settings →  Groups → [Group] → Settings → Scheduled Sync

When to Use Scheduled Syncs

  • Your team structure/data changes frequently
  • You want to automate updates to recipient profiles and cards
  • You want to avoid running manual syncs each time something changes


Creating Your First Scheduled Sync

  1. Navigate to your group: Groups → [Group] → Settings → Scheduled Sync

    Click Manage Schedule

    Choose a schedule:

    • Weekly: Select a day of the week
    • Daily (Enterprise only): Runs once every day
  2. Click Save

⏰ All syncs run at 12:00 AM UTC. High-volume jobs may take a few minutes to complete.


Understanding What Gets Synced

Scheduled Syncs pull the latest data from Microsoft Entra ID based on your current integration settings.

Automatically Synced:

  • New users added to groups
  • Users removed from groups
  • Group name and description updates
  • Recipient contact detail changes
  • User status changes (enabled/disabled)
  • Group member business card updates

Note: All scheduled syncs follow your configured sync options.


Setting the Right Schedule

Weekly Syncs

  • Ideal for most teams or lower activity workspaces
  • Reduces sync traffic while preventing stale data

Daily Syncs (Enterprise only)

  • Best for high-activity teams
  • Ensures your data is never out of date

All syncs run at midnight UTC at this time.


How Syncs Work

When a sync runs:

  1. We check your Entra ID directory for changes
  2. We update group memberships
  3. We import or remove users (based on your integration settings)
  4. We update recipients with any changes
  5. We sync their business cards as needed

Propagation

As long as the sync completes successfully:

  • Changes are reflected in real-time across the platform
  • Cards update automatically without downtime or manual action

Sync Duration

Most syncs finish within a few minutes, depending on the size of the changes.


Managing Scheduled Syncs

View All Syncs

View Sync Details (Per Group)

  • Groups → [Group] → Settings → Scheduled Sync
  • See current schedule, status, and configuration

Edit a Sync

  • Go to Manage Schedule
  • Change the schedule or pause/resume the sync

Pause a Sync

  • Set Schedule Status to disabled (unchecked)
  • Click Save

Resume a Sync

  • Set Schedule Status to enabled (checked)
  • Click Save

Delete a Sync

  • In Manage Schedule, click Delete to remove the scheduled job permanently
